Styling Team Contest

Our Styling Team came up with a fun way to bring the team closer together. The team leaders will organize mini contests once in a while.

In the first one, members were asked to submit a picture of themselves in their best outfit and wearing a mask. Well, who said we can’t have fun during a pandemic? 

These are the pictures submitted by our lovely stylists.

I’m sure you’re excited to find out who the winner is. Well, we have two winners, actually.

Here they are, with a total score of 90 points, Shy and Bryan Mae.

Nuestro equipo de estilismo ideó una forma divertida de acercar al equipo. Los líderes del equipo organizarán mini concursos de vez en cuando.

En el primero, se pidió a los miembros que presentaran una foto de sí mismos con su mejor atuendo y con una máscara. Bueno, ¿quién dijo que no podemos divertirnos durante una pandemia?

New Nadine West Mailers

We’re excited to share with you our new mailers. They’re made from 100% recycled material.

Compared with the old one, these are stronger, easier to open, easier to reseal, recycle, and branded with our logo and a funny message. We’ll rotate the messages regularly, so they don’t get stale for customers.

Here are the new mailers with the first designs. 

They were shipped out last week and have started arriving today. 🙂 So far, enough for a month.

We’re testing them out this week starting with our new customers. 

Can’t wait to receive feedback from our members. We’ll keep you posted. 🙂

Nuevas bolsas de envio de Nadine West

Nos complace compartir con ustedes nuestros nuevas bolsas de envio. Están hechos de material 100% reciclado.

En comparación con el anterior, estos son más fuertes, más fáciles de abrir, más fáciles de volver a sellar, reciclar y están marcados con nuestro logotipo y un mensaje divertido. Rotaremos los mensajes regularmente, para que no sean obsoletos para los clientes.

Aquí están los nuevas bolsas de envio con los primeros diseños.

Fueron enviados la semana pasada y han comenzado a llegar hoy. 🙂 Hasta ahora, suficiente por un mes.

NW Team Update: May 2020

Hi Team,

(We didn’t mention COVID in this team update since our operations are mostly back to normal — however, please, please continue to stay safe, maintain social distance, and protect your elderly relatives.  Now on to the regular monthly update.)

Nadine West is very different. We have a lean, mean (and friendly!!!) warehouse and a large online (remote) team. We love that combination. However, one possible downside is that the team doesn’t get to interact with everyone in person. Many of our team members work remotely and we only chat with them online.

In this team update, we would like to highlight our online team, the different departments it comprises, and the tasks of each member.

The Nadine West Online Team

Everyone in the company knows that many of our team members are remote and their tasks are all done online. But few are familiar with the responsibilities of our online team.  

Nadine West has around seventy online members based in different countries including Philippines, Germany, Russia, Canada, and United States. 

Our Online Team is composed of nine departments such as Buying, Styling, Customer Service, Recruiting, Engineering, Data Science, Marketing, Finance, and Admin. 

Here’s a quick glimpse of how each of these teams function.

Buying

The Buying Team has ten members, eight of whom are full-time employees. They are the ones who bring in the beautiful and quality items we send our customers.  

Aside from purchasing clothes and accessories, the Buying Team also ensures that the target costs are met, the orders are shipped on time, and the vendors compensate us for missing or damaged items.

Styling

This team has twenty-two members, including two team leaders and seven Quality Team members. Our Styling Team is the one who curates the items and ensures that the package contains exactly what the customer fancies. 

Our stylists work on the tasks assigned by their team leads. Each styled package is checked by the Quality Team who either approve, reject or recommend for restyling. 

This team works hand in hand with the Warehouse who put together the items in our pink packages.

Customer Service

Nadine West’s Customer Service is composed of an Email Team with twenty three members and a Phone Team with four members.

It is the Happiness frontliner of Nadine West whose goal is to investigate and resolve specific issues of our members and to assist customers to ensure their satisfaction.

The CS Email Team resolves tickets within a specified period from the time they are received. Standard Operating Procedures are all outlined ensuring quality and accurate responses when addressing issues.

The CS Phone Team, on the other hand, calls members who left voicemails or sent text messages and their concerns are resolved. 

You surely have read feedback about how awesome our customer service is. Thanks to our CS team members.

Recruiting

We are currently building a recruiting team at the Warehouse but in the Online Team, we have two main recruiters, one in the Philippines and one in Germany.

The responsibilities of the team include administrative tasks related to recruiting and company culture, and managing the feedback surveys.

When we have job openings, they first weed through the applications, find potential hires, and schedule interviews with them. 

Recruiters typically do the initial interviews and serve as our main gatekeepers. If the candidates have solid potential to be effective at the position, recruiters endorse them to the team leaders or the upper management for more interviews.

The Recruiting Team ensures that we have A players in all departments.

Engineering

Five members based in Russia and Canada comprise our Engineering team.  It uses software to create solutions and systems to deliver pink packages of happiness to customers.

The team lead analyzes opportunities and problems and creates To-dos for the team to implement solutions. A typical day for the team members involves deep work in front of a computer with Basecamp and a code editor.

Data Science and Data Analytics 

There are four members in Data Science and Data Analytics. They are based in Canada, Russia, and Austin (remote). 

The team provides answers to data-related questions from other teams. They deliver those answers as dataclips, spreadsheets, R reports, and Tableau reports. 

Requests from teams for insights and information are directed to the team via To-dos. The teams coordinate, clarify the requests, and work on answers.

Marketing

Our company’s marketing is run both by a couple of employees from ad agency and Nadine West members. Tasks include Facebook ad campaigns and social media among others.

The marketing team is pretty autonomous. They come up with ad campaigns and deploy them to Facebook and other channels. They monitor and report back on what’s working and what’s not. They receive a daily goal or a daily budget and go make it happen.

Finance

Our finance team is really run by one member based in the US, plus a lot of spreadsheets and software to automate as much as possible.

Finance tasks involve mostly routine stuff now, including monthly bookkeeping, payroll, expense reimbursements, and vendor payments. 

Admin

The admin team is composed of three permanent members. They take care of any task that doesn’t fall into the regular teams, especially administrative work (thus the name). Assignments come directly from our CEO and CMO. 

A typical day of an admin staff is a mix of routine and new things on a daily basis, especially if we’re diving into new territory or ideas within the company. 

They support reports generation for online and onshore teams as a regular task, then sometimes research far out topics related to marketing, customer service and sometimes even neuroscience. Much of our innovations then have been possible with the help of our Admin Team.  

Now you have a clearer picture of how things are done by our Online Team. I’m sure you’re amazed at the systems they have developed and the crucial role each one of them play for Nadine West. 

Remote Work at Nadine West

Remote work has always been integral to Nadine West. We have had a remote team since Year 1 with our first hire in the Philippines. Sidney and I hired our friend from another project, Shiela Cueno, to help with styling, inventory purchase, customer service, and everything else. 

Shiela built those online teams and then eventually, Marvin Co, took over and started recruiting leaders to take them to the next level.

We’ve always used Basecamp to manage our tasks from the start. There is another great software but we chose it because our two companies are very much alike.

First, Nadine West and Basecamp are not venture backed. We are both customer backed. 

Second, Nadine West and Basecamp are not as concerned about our short-term performance, as we are concerned about building something that is built to last a long time. We don’t have to worry about system disruptions in case of product termination because we know that Basecamp is here to stay. 

Third, Nadine West and Basecamp both depend on remote teams from the very beginning. It is worth noting that Basecamp was created so that 37signals (the original name of the company), which was then a web design firm, could better manage its projects. This somehow explains why Basecamp has been a great software from the time it was launched for commercial use.

We used to have one Basecamp team called “Nadine West”. Since we started, Basecamp has released two new versions, Basecamp 2 and Basecamp 3. Eventually, we upgraded to the latest version and we now have over 100 Basecamp teams and projects with over 100 user accounts. 

Other digital products help our online teams work smoothly. This includes Google Drive which allows us to create documents and spreadsheets that everyone can easily access and organize. Another one is our Order Management System (OMS) which serves as an online database for our inventory.

We’re really grateful to have chosen to have remote teams as we are able to recruit top talents from anywhere in the world. 

First Quarter Member Engagement Survey Result

Every quarter, we conduct a Member Engagement Survey and send everyone questions related to Internal Branding, Leadership and Management, Alignment, and Development.

Here’s the result of the survey conducted from January to March 2020.

I. Survey Questions

In our survey last quarter, the questions that received the highest scores are:

  • I am proud to work for Nadine West (4.84)
  • I would recommend Nadine West as a great place to work. (4.83)
  • The leaders at Nadine West keep people informed about what is happening. (4.82)

This was followed by:

  • My direct leader possesses the skills necessary to lead the team to success. (4.72)
  • Day-to-day decisions made demonstrate that quality and improvement are the company’s top priorities. (4.68)

The question with the lowest score, on the other hand, is “I feel that my pay is equivalent to the responsibilities given to me,” (4.34).

II. Member’s Comments

Team members also provide comments on each of the questions they answer. For this survey, the key takeaways from members’ comments include the following:

For this round, we had a response rate of 82% or 59 out of 72 target respondents. Of the total, 42% are from Customer Service, 39% from Styling, 2% from Creative and Marketing,  2% from Engineering & Data Science, 8% from Buying, and 7% from Admin/Product/Recruitment.

Actualización del equipo NW: Mayo de 2020

Hola equipo,

(No mencionamos COVID en esta actualización del equipo ya que nuestras operaciones han vuelto a la normalidad, sin embargo, por favor, continúen a salvo, mantengan la distancia social y protejan a sus parientes mayores. Ahora pasemos a la actualización mensual regular).

Nadine West es muy diferente. Tenemos un almacén delgado, mezquino (y amigable) y un gran equipo en línea (remoto). Nos encanta esa combinación. Sin embargo, una posible desventaja es que el equipo no puede interactuar con todos en persona. Muchos de los miembros de nuestro equipo trabajan de forma remota y solo chateamos con ellos en línea.
